Hoops Foundation (“Hoops Foundation,” “we,” “us,” or “our”) is a nonprofit organization based in San Francisco, California. We cover club sports fees and travel costs so that Bay Area girls can play basketball, no matter their family’s income. This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have. It applies to our website, our donation form, our email communications, and our social media accounts (together, the “Site”).
By using the Site, you acknowledge this Privacy Policy. If you do not agree with it, please do not use the Site.
Our Commitment to Privacy
We are a small organization built on trust, and we keep our approach to your information simple:
- We do not sell, rent, or trade personal information, including donor lists.
- We never see or store your full payment card number. Gifts are processed securely by our donation platform, Givebutter, and its payment processors.
- Information about the girls and families we support is used to run our program, not for marketing.
- We publish a young athlete’s name, photo, or story only with the permission of her parent or guardian.
- You are in control. You can ask to see, correct, or delete your information, or to stop hearing from us, at any time.
Information We Collect
Donors and supporters
When you give through our donation form, Givebutter collects the information needed to process your gift, such as your name, email address, billing address, phone number (if requested), payment information, gift amount and frequency (one-time or monthly), and any dedication, comment, or anonymity choice you provide. We receive the information we need to acknowledge and manage your gift, such as your name, contact details, gift amount and date, and your recognition preferences. We do not receive your full payment card number.
Girls and families we support
If a girl applies for or receives support from Hoops Foundation, we collect information from her parent or guardian (and, where needed, her club or coach) that is necessary to run our program. This may include the athlete’s name, age or date of birth, school or grade, club and team name, and coach contact details; the parent or guardian’s name and contact information; the fees and travel costs to be covered; and information about the family’s financial need. We do not ask for Social Security numbers, medical information, or immigration status, and we ask that you not send them to us. We collect this information from parents, guardians, and clubs, not directly from children.
People who contact us
If you email us, sign up for updates, volunteer, or ask about partnering with us, we collect your name, email address, and the contents of your message.
Photos, videos, names, and stories
We may take or receive photographs, video, quotes, and stories featuring players, families, volunteers, board members, and supporters at games, tournaments, and events, and use them on the Site, on social media, and in our fundraising and program materials. See “Young Athletes’ Privacy and Images” below for the extra care we take with minors.
Social media
If you interact with our Instagram account, we receive the information Instagram makes available to us, such as your username and any comments or messages you send. Instagram’s own privacy policy governs how it handles your information.
How We Use Information
We use personal information to:
- process gifts and send receipts and gift acknowledgments;
- respond to your questions and requests;
- send updates about our work, our impact, and ways to support us (you can opt out at any time);
- review requests for support, pay club fees and tournament costs, and coordinate travel for the girls we support;
- report on our impact using aggregated or de-identified information;
- recognize donors, but only if you have agreed;
- operate, secure, and improve the Site, and detect and prevent fraud or misuse; and
- comply with tax, accounting, charity-regulation, and other legal requirements.
We will not use your personal information for unrelated purposes without first giving you a chance to say no.
How We Share Information
We do not sell, rent, or trade your personal information. We share it only in these limited situations:
- Service providers. Companies that help us run the Site and our work, such as our donation platform and payment processors, website host, email provider, analytics provider, and bookkeeping and accounting services. They may use your information only to perform services for us and are expected to keep it confidential.
- Clubs, coaches, and travel vendors. For girls we support, we share only what is needed to pay fees and arrange travel, such as an athlete’s name, team, and dates of travel.
- Our board, volunteers, and advisors, on a need-to-know basis and subject to confidentiality.
- Employer matching programs, if you ask us to confirm a gift for a matching request.
- Legal and safety reasons. When we believe disclosure is required by law or legal process, needed for required tax or charity filings, or necessary to protect the rights, property, or safety of Hoops Foundation, our community, or others.
- Organizational changes. If we merge, restructure, transfer our programs, or dissolve, information may be transferred to a successor nonprofit that continues our mission, and this Privacy Policy will continue to apply to that information.
- With your consent or at your direction.

Cookies and Analytics
Cookies are small files placed on your device that help a website work and remember your preferences. We use cookies and similar technologies to keep the Site working, to understand how visitors use it, and to improve it. Our donation form is provided by Givebutter, which may set its own cookies.
You can set your browser to refuse cookies or to alert you when one is being sent, though some parts of the Site may not work properly if you do.
Do Not Track. Our Site does not currently respond to “Do Not Track” browser signals, because there is no common standard for them. Third-party services on the Site, such as our donation platform and analytics provider, may collect information about your online activities over time and across websites.
Young Athletes’ Privacy and Images
The girls we serve are at the center of our mission, and protecting their privacy is one of our highest priorities.
- The Site is for adults. It is intended for donors, parents and guardians, volunteers, and partners. We do not knowingly collect personal information online from children under 13. If you believe a child under 13 has given us personal information, please contact us, and we will delete it.
- Parents and guardians act for minors. Information about girls under 18 comes from a parent, guardian, or the girl’s club, and parents or guardians make requests for support.
- Photos, names, and stories require permission. We publish the name, photograph, video, quote, or story of a girl under 18 only with the written consent of her parent or guardian. We limit identifying details to what the family has approved, and we do not publish a minor’s home address, personal phone number, personal email, or advance travel schedule.
- You can change your mind. A parent or guardian may withdraw consent at any time by emailing us. We will remove the content from the Site and our social media accounts and stop using it in future materials. We cannot recall materials already printed or distributed, or content copied or reposted by others.
- Support information stays private. We do not publicly identify which girls receive financial support, and we report on our impact using aggregated information.
- Reviewing or deleting a child’s information. A parent or guardian may review, correct, or ask us to delete information we hold about their child by contacting us.
How Long We Keep Information
We keep personal information only as long as we need it for the purposes described in this policy or as the law requires:
- Gift and financial records: as required by tax, accounting, and nonprofit recordkeeping laws (generally 7 years).
- Information about girls and families we support: while we are supporting the athlete and for up to 3 years afterward, then we delete or de-identify it unless the law requires us to keep it longer.
- Newsletter and contact information: until you unsubscribe or ask us to delete it.
- Photos, video, and stories: until consent is withdrawn.
- Website Log Data: for a limited period set by our hosting and analytics providers.
Data Security
We use reasonable administrative, technical, and organizational measures to protect the information we hold. These include using encrypted (HTTPS) connections, relying on reputable, PCI-compliant payment and donor-management platforms, and limiting access to personal information to the board members, volunteers, and service providers who need it. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. If a data breach affects your information, we will notify you and the appropriate authorities as required by law.
Your Choices and Rights
You may, at any time:
- ask what personal information we hold about you and request a copy;
- ask us to correct information that is inaccurate or out of date;
- ask us to delete your personal information;
- unsubscribe from our emails using the link in any email or by writing to us;
- ask to give anonymously or to be removed from donor recognition; and
- withdraw permission to use a name, photo, video, or story.
To make a request, email us at info@thehoopsfoundation.org from the email address you have used with us. Please include your name and the nature of your request. To protect your privacy, we may ask you to verify your identity before we act on a request, and you may use an authorized agent to make a request for you. We will respond within 45 days. We may not be able to delete information that we are legally required to keep, such as gift records for tax purposes, but we will tell you if that is the case.
California Residents
As a nonprofit organization, Hoops Foundation may not be a “business” covered by the California Consumer Privacy Act (CCPA). Even so, we choose to offer California residents the rights described above, including the rights to know what personal information we collect, to correct it, and to delete it. We do not sell personal information, and we do not share it for cross-context behavioral advertising. We will not treat you differently for exercising your privacy rights.
California’s “Shine the Light” law (Civil Code §1798.83) allows California residents to request information about disclosures of personal information to third parties for their direct marketing purposes. We do not make such disclosures.
Links to Third-Party Sites
The Site may link to other websites and services, such as Givebutter and Instagram, which have their own privacy policies. We do not control and are not responsible for their content or practices, so please review their policies before sharing information with them.
Aggregated and De-Identified Information
We may combine or de-identify information so that it no longer identifies any individual, for example, to report how many girls or teams we have supported. We do not attempt to re-identify de-identified information about the girls we support.
Users Outside the United States
The Site is operated in the United States and is intended for people in the United States. If you use the Site from another country, please be aware that your information will be collected, stored, and processed in the United States, where data protection laws may differ from those in your country.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and change the “Last Updated” date above. If we make a material change to how we use or share personal information, we will take reasonable steps to let you know, such as a notice on the Site or an email if we have your address. Your continued use of the Site after changes are posted means you accept the updated policy.
